There are many ways computer issues can affect your staff. When a person arrives at their workplace, whether in an office, or out in the field, they can easily become discouraged and lose motivation to work simply because their computer isn’t functioning properly.

Some common issues employees and staff have expressed are:

“My computer takes forever to boot up in the morning!”
(Receptionist for a legal firm)

“I can’t log into my corporate office when I’m out in the field!”
(Project Manager for a construction business)

“I can’t print!”
(Manager for Non-Profit Organization)

“I have to constantly log onto another computer because mine keeps displaying error-messages and shuts down!”
(Front Office Reception at Dental office in Rocklin, CA)

“I don’t have access to the files that I need, and lose time trying to retrieve them from someone else or waiting for someone to send them to me!”
(Consultant for Children’s Education/Sacramento, CA)

“My computer keeps freezing up everyday around the same time, and it drives me nuts because I’ll be in the middle of a project and all of a sudden have to stop what I’m doing because of this!”
(Account Executive of Medical Equipment Sales and Distribution)

“I’m in charge of billing and collections, and when my system isn’t working our clients are not exactly banging down our door to pay their bills, so I need my computer up at all times to make sure we get paid on time!”
(Office Manager/Medical Billing Services)

Now…Stop and Think! How often does this go on in your business? Do your employees, and staff come to you with these issues? Perhaps not, perhaps they are one of many people who just brush it off and move on to something else.

Most people, when faced with a computer issue don’t even know who to turn to. Many times the managers and business owners are just too busy. Or, for the sake of not causing interruptions, the employee will just improvise for the time being, and try to find a solution on their own. But what happens when they run out of solutions? Yes, this is when frustration kicks in, and the employee will become discouraged, unmotivated, and even dread coming in the following day because they are feeling unproductive.

When an employee is feeling this way, you lose money, and productivity. Your clients will notice, and this will affect your business dramatically.

How can you prevent these issues?

Make sure you have an I.T. resource that is reliable and available to provide support immediately.

Make sure your staff knows who to call or come to when experiencing technical issues.

Physically place technical support contact names and phone numbers on all employee workstations, laptops, and printers so they can easily access support when needed.

Verbally ask your staff if they are experiencing any computer issues to find out who may be unaware of your technical processes.

And always, always be sure your I.T. service provider is providing you with a detailed report on issues they have prevented, and fixed.

Your computer may be running slowly for several reasons. The following is just a small list of issues you can look into to help maximize performance and speed:

Improper or incorrect network, DNS, and user configurations.

Inadequate quantity of Random Access Memory (RAM). New operating systems, such as Windows 7, should be using at least 3Gigabytes of memory in most situations!

Inadequate disk space. It may be time to delete some files to make more room on the hard drives, and then defragment the hard drive. When your system doesn’t have any enough to room to save data quickly, the drive will slow itself down trying to figure out where to make room to store the data.

Too many applications running in the background. These applications can be deceptively installed by seemingly innocuous websites, or while downloading applications such as Java, Adobe, etc.
Many HP computers come with innumerable little applications, such as HP Advisor, HP Update Tool, HP Store, etc. These little applications are little devils!

Multiple anti-virus applications running at the same time! Some users think that it is a good idea to run multiple anti-virus/anti-spy applications simultaneously, to make it more secure. But this slows down a computer dramatically.

And last but not least, viruses will eventually be running on your computer, simply over time, if you browse the Internet.

These are just a few of the issues that can easily be looked into by Calling us Today!

As a small business owner or manager, you have an obligation to make sure you have a Disaster Recovery Profile implemented within your business.

Loss of data is just a matter of time. Hard drives (where data is stored) are the second most likely piece of hardware to fail on a computer system (the power supply is the most likely device to fail), due to the fact that it has moving parts.
How do I prevent loss of data in the event of a power outage?

Simple Answer: Be sure you have a regularly scheduled, back up process in place.

This does not mean having an employee, staff member or yourself going in from time to time and using a flash drive or disc to backup your files. Invest in an experienced I.T. service provider that will conduct back up services that offer the following features:

Automatically scheduled.

Data stored offsite in multiple physical locations.

Reports that indicate when a backup has succeeed or failed.

A SIMPLE way to restore data, in case of failure.

All data is encrypted during the backups or restorations.

For more information on how severe the impact of data loss can be, see: Data Loss Statistics

There are many changes and processes you must implement within your medical or dental practice in order to reach compliancy with the Health Insurance Portability and Accountability Act (HIPAA). The process can become extremely time-consuming, confusing and stressful.

Here are just 3 of the Security Standards HIPAA requirements:

Administrative Safeguards: These are the administrative functions that should be implemented to meet the HIPAA security standards. These include the assignment and delegation of security responsibilities and security training requirements to an individual.

Physical Safeguards: These are the mechanisms (hardware and technology) required to protect electronic systems equipment and the data they hold, from threats, environmental hazards and unauthorized intrusion. This includes restricting access to Electronic Protected Health Information (EPHI) and retaining off site computer backups.

Technical Safeguards: This is the automated process or processes used to protect the data and control access to the data. This includes authentication controls to verify the person logging into the computer is authorized to access the EPHI, encrypting, and decrypting data as it is being stored and/or transmitted.

This is just a small portion of what it takes to become HIPAA compliant. If you have more questions about implementation of the above procedures, please Call us Today!

Protecting your business from break-ins and security breeches is probably the most important thing you can do for your business. Many small business owners and managers get so excited with starting a new business, that they overlook or sometimes forget to protect their most valuable asset: data.

Here are 5 ways you can protect your business today.

Be sure you or your I.T. provider immediately removes user login accessibility from anyone you terminate, fire, or anybody who quits.

Hackers are always on the prowl. Implementing an Intrusion Detection System (IDS) or Intrustion Protection System (IPS) may prevent or minimize attacks.

Invest in a video surveillance and alarm security system to protect your employees, your clients, and your business. Thieves are less likely to break into a business that has video surveillance, than one which just has an alarm system.

Never share confidential login or password information.

Always be sure to back up your files onto an offsite secure server. These service providers can have your entire data and network up and running in a matter of hours or even minutes if managed properly.
